Schools, classes and gyms: sign-ups that no longer get lost

You run a dance, music, art or film school, you teach classes, you manage a club or a gym. Your students arrive through a request: a trial class, a question about times, a sign-up. I build the website, the tracking and the follow-ups that turn each of those requests into a sign-up, or at least a clear answer, without you spending your evenings in your inbox.

What gets lost today

  • Trial requests come from everywhere at once: Instagram messages, emails, calls, the website form, sometimes a note left at reception. Nobody holds the full list.
  • Between the trial class and the sign-up, there is no follow-up. The student liked the class, then forgot, and so did you.
  • Back-to-school packs half of the year's requests into three weeks, precisely when you have the least time to answer.
  • The waiting list lives on paper or in a spreadsheet only one person can read. When a spot opens, nobody knows who to tell first.
  • Files, certificates and payments are tracked by hand, which means awkward reminders and things missed on both sides.

What I put in place

A website that answers the questions you get ten times a week: disciplines, levels, times, fees, location, and a clear button to request a trial class. It is designed for the phone first, because that is where parents and students read it.

A simple CRM where every request lands in the same place, whatever the channel. You see at a glance who asked for a trial, who came, who signed up and who is waiting for an answer.

Automations that do the repetitive work: instant confirmation of the request, a reminder the day before the trial class, a follow-up a few days later if no sign-up followed, a message to the waiting list when a spot opens.

If the volume justifies it, an AI that answers routine questions from your own information and hands over to you as soon as a question goes beyond that. You stay in control of what it says.

I keep your payment or scheduling tools when they work. The goal is that requests stop getting lost, not to replace everything.

What changes for you

  • Every trial request is recorded, confirmed and followed up, whatever channel it comes from.
  • You always know who is waiting for an answer, who came to a trial and who hasn't signed up yet.
  • Follow-ups go out at the right time without you having to think about them, including at back-to-school.
  • Your front desk or teachers share the same information instead of hunting for it across several inboxes.
  • You spend less time in your messages and more time teaching or coaching.

How a project runs

It all starts with the free diagnostic: 45 minutes on video to look at your website, your channels and how your requests are tracked today. You then get a one-page summary of what gets lost and where to start. If a project makes sense, I send a fixed-price quote. Ideally I launch before sign-up season, so everything runs smoothly when requests arrive.

Frequently asked questions

Can you handle trial classes and the waiting list?

Yes. Every trial request enters the CRM, gets a confirmation and a reminder, then a follow-up if no sign-up follows. The waiting list sits in the same place, and people are told in order when a spot opens.

My students mostly sign up through Instagram, is that a problem?

No. Instagram stays your shop window. I make sure the requests that come through it join the same tracking as the website's, so none is left unanswered in your messages.

Does it work for a club or a gym?

Yes. The principle is the same: a trial session, a membership request, and follow-up until there is an answer. The free diagnostic checks what applies to how you work.

What happens during the back-to-school peak?

That is when tracking matters most. Confirmations and follow-ups go out on their own; you only handle the requests that need you. Ideally I launch a few weeks before to run it in.

Do I keep my payment or scheduling tool?

Yes, when it works. I connect it to the website and the tracking rather than replacing it. If a tool is a problem, I tell you during the diagnostic, with an alternative.
